The situation
A marketing agency usually runs on a dozen tools that don’t talk to each other: a CRM, a project board, spreadsheets for retainers and commissions, an invoicing app, a shared drive and WhatsApp. The numbers the owner needs — who has paid, what each client is worth, what the team is working on — end up in someone’s head. We built one system to replace them, first for a Cairo agency’s own team, then as a product any agency can sign up to.
What we built
- Sales: a lead pipeline fed straight from WhatsApp and website forms, proposals that become clients when accepted, and e-signatures with a full audit trail
- Delivery: projects and tasks with board, calendar, timeline and workload views, client approvals, and a company drive with per-folder permissions
- Money: retainers, invoices and part-payments, media-buying reconciliation, commissions and expenses, with exports for the accountant
- People: staff records, payroll and reminders before documents expire
- Clients: a branded client portal, and a monthly performance report drafted for each client automatically
- Groups: a head office can run several agencies from one account, each kept completely separate
- The basics done properly: two-factor sign-in, an activity log, weekly backups, and an API with signed webhooks
